Many industrial suppliers believe that the only way to get orders is by actively pursuing them: cold calling, distributing brochures, or paying for advertisements. However, there's a more cost-effective approach with higher conversion rates—making requests for quotation (RFQs) come to you. This approach is called inbound, and the core idea is simple: be in the right place when buyers are looking.

Why chasing buyers is expensive and slow

Outbound methods—cold calls, cold emails, paid advertising—have two problems. First, the costs are ongoing: stop paying, and the flow stops. Second, you're reaching out to people who may not necessarily need your product. Conversely, when a buyer writes an RFQ, they already have a real intention to purchase. Answering one relevant RFQ is much more likely to result in an order than a hundred cold calls.

How RFQs can come to you

The flow is three steps:

  1. The buyer specifies their needs. The procurement team enters the products, specifications, and quantities they are looking for into an industrial directory or marketplace.

  2. Relevant suppliers get notified. If your product matches the requested categories, the request comes to you—you don't have to guess who needs what.

  3. You respond with an offer. Send prices and availability. The conversation starts from genuine interest, not small talk.

There are no ongoing advertising costs, and the incoming leads are prospective buyers who are actively searching.

Three conditions for inbound to work

1. Clear and complete storefront

Buyers cannot choose what they don't understand. Include the correct product names, technical specifications (dimensions, materials, capacity, standards), original photos, and application range. A half-finished storefront makes buyers hesitate and move to other suppliers with complete information.

2. Right categories and keywords

RFQ notifications and buyer searches work based on categories. If your product is in the wrong category—or the category is empty—you will never show up when needed. Ensure each product is placed in the correct industry sector and sub-category.

3. Fast response

In procurement, speed often trumps price. Buyers usually contact several suppliers simultaneously; those who respond first with a neat offer have a significant advantage. Respond to RFQs within hours, not days.

Credibility speeds up decisions

B2B buyers take risks when choosing new suppliers. Anything that reduces their doubt will accelerate the deal: a complete company profile, verified badges, relevant certificates (including TKDN if applicable), and a portfolio. Think of this as the industrial version of "social proof."

Start with free options

You don't need an advertising budget to start. Creating a product storefront in an industrial directory can be done for free—and once your products are displayed in the right categories, you can start receiving RFQs without paying per click. Think of your listing as a silent salesperson working 24 hours a day, even when you're in the field.
