How to Reply to RFQ So Your Offer is Chosen: Practical Guide for Suppliers
Source: ID Industri

Sooner or later, there will be a request for a quote that perfectly matches what you produce. What determines when that time comes is not how complete your catalog is, but what you write in the next few minutes. On ID Industri, replies are sent via a form on the request detail page, and the message field is limited to 500 characters. Such a narrow space benefits suppliers who already know exactly what to write and penalizes those who only start composing sentences at that moment.

What buyers truly evaluate in the first reply

The most common assumption: the cheapest one wins. In reality, at the first reply stage, buyers often haven't even started comparing prices. What they do first is eliminate unusable replies. Replies that don't mention units, don't address the requested specifications, or simply say "please contact us for a quote" cannot be included in their comparison table, so they are not compared at all. What gets eliminated is not the expensive one, but the unreadable one.

If you want to know how offers are handled on the other side of the table, see how procurement teams compare supplier offers using a scoring method. The criteria they use there are exactly what ideally should be answered in your reply. It's also a good idea to occasionally browse the list of requests for quotes on ID Industri to see the usual form of requests and how detailed buyers write their needs.

No one knocks on the door: you must find the requests yourself

One thing needs to be clarified from the start, as many suppliers are waiting for something that will not come. The platform does not send notifications when there is a new request for a quote that matches your product. There are no automatic emails, no notification bells. The list of requests is open for anyone to browse, and that's where the work begins.

Therefore, make checking the list a scheduled habit, not something done when you have time. Once a day at the same time is enough, and five minutes is usually spent scanning titles and categories. There are days when nothing matches, and that's normal. What matters is that you are ready when something finally matches, not how often you are lucky.

Reply while the request is still active

Every request for a quote has a date range, and its status changes automatically. This change occurs once a day at midnight Jakarta time: requests whose end date has passed are marked as expired, and requests whose start date has arrived are activated. Once a request expires, the reply form on its page stops functioning, including the button to contact the owner by phone. There is no other way to contact the owner through the platform after that point.

Speed also has its own value in the eyes of buyers. Suppliers who reply within hours signal that communication after an order is placed is likely to be just as fast. Suppliers who only respond a week later signal the opposite, and that signal is difficult to erase in subsequent stages.

Prepare your account before the right request appears

There are three requirements that must be met before the send button can be used:

  • Already logged in. Replies are sent on behalf of your account, so visitors who are not logged in will be directed to the login page first.

  • Email already verified. Replies from accounts whose email has not been verified will be rejected. The button to contact the owner by phone also only becomes available after this verification is complete.

  • Have an active membership. Replying to quote requests is a feature for registered suppliers. Accounts without membership will be directed to the seller registration page as soon as they try to send.

Dealing with all three precisely when an interesting request is in front of you is the easiest way to lose your turn, especially since the request has an expiration date. Complete it once at the beginning, then forget about it.

Reply pattern that fits in 500 characters

The 500-character limit forces you to choose. The following order puts the most crucial things first, so they remain readable even if the request owner only glances at them:

  1. Confirm the requested specifications. Reiterate the item with numbers, not "as per your request." This proves you read it and avoids misunderstandings from the first sentence.

  2. Price complete with unit, delivery point, and tax status. A price without these three details cannot be compared with any other offer.

  3. Lead time and availability. How many working days, for what quantity, from stock or production.

  4. Offer validity period. Stating this makes your figures seem serious and protects you from material price changes.

  5. One differentiating sentence. Not a slogan, but a verifiable fact: direct manufacturer, has technicians in the delivery area, or has handled similar orders.

The following example uses 399 characters, leaving a hundred characters for adjustments:

Good afternoon, Mr. Andi. For a 3-inch centrifugal pump, 30 m head: we offer type SP-80, cast iron casing, 5.5 kW motor. Price Rp 12.4 million per unit, franco Surabaya, not including VAT. Lead time 10 working days for 5 units, ready stock. Offer valid for 14 days. We are direct manufacturers and have after-sales technicians in East Java. We will send the official quotation letter and technical drawings to your email today.

Note that not a single word is wasted on corporate pleasantries. Your company profile is already on your page; this message's job is to answer the buyer's questions.

State your assumptions openly

Almost every offer contains assumptions. The problem arises when those assumptions are not written down, then discovered during the negotiation stage, causing all figures to shift. The most common things that need to be stated upfront:

  • Minimum order quantity, if the price you quote only applies from a certain quantity.

  • Delivery area covered by the price, and what happens outside that area.

  • Conditions that lock the price, for example, partial upfront payment or a reference exchange rate for imported goods.

  • Equivalent alternatives you offer if the exact specifications are not available. State them as alternatives, don't quietly replace them.

The product page does not provide separate fields for minimum quantity or lead time, so a quotation reply is the most appropriate place to state them. Buyers comparing several offers will appreciate suppliers whose limits are clear from the start, because such offers do not need to be revised later. The same principle applies to your own product pages, and how to structure them is discussed separately in the guide on how to write industrial product descriptions.

Complete documents follow by email, not attached

The reply form does not provide an attachment field, so writing "attached is our offer" will confuse readers who find nothing to open. The correct way: put a summary of the figures in the message, then conclude with a sentence stating that the official quotation letter, technical drawings, or certificates will follow by email.

This can be done because your reply is sent to the request owner as an email containing your name, email address, and phone number. The owner can reply directly from that email, and that's where the complete documents change hands.

Five mistakes that cause replies to be ignored

  • "Please contact us for a quote." This shifts the work back to the buyer who has already stated their needs. Such replies are almost always skipped.

  • Copying brochure text. Paragraphs about the company's vision consume character allowance that should be used for figures.

  • Price without unit and delivery point. Bare figures cannot be compared, and often even harm you when the buyer assumes the price includes shipping costs. The full reason is in the discussion of landed cost.

  • Not addressing the requested specifications. Offering a similar item without explaining the differences makes your reply unassessable.

  • Resending multiple times. There is a five-minute delay before you can send the next message, and that delay is counted from your last message to any item, not just to the same request. Send once, correctly once.

After the send button is pressed

Your message is forwarded as an email to the request owner, complete with your contact information. The destination address is the email the owner used to register their account, or the email registered with their company's membership if they have one. You yourself receive a confirmation email that the message has been sent, so you don't have to guess whether your reply arrived.

From then on, the conversation moves to email or phone, and follow-ups should be done there, not by resending messages via the form. If there's no response within a few days, one polite follow-up via email is sufficient. Reiterate the specification number and offer something useful, such as willingness to adjust quantities or send samples. Repeatedly pressing rarely speeds up procurement decisions, which usually await other offers before comparison.

Prepare your template now, not later

Everything discussed above is much easier to do before there's a request waiting to be answered. Set aside half an hour today to draft a 500-character reply for two or three of your main products, complete with a price structure, lead time, and a well-thought-out differentiating sentence. Save it in easily accessible notes.

When the suitable request finally appears, your job is simply to change the numbers and adjust the specifications, and that's done in five minutes. Suppliers who prepare their framework first not only reply faster but also reply better, because their sentences are composed calmly and not rushed by deadlines. That speed allows small suppliers to compete with those who have full sales teams.
